We have a great opportunity for two individuals to join our Data, Funding and Exams department as our new Registration and Exams Leads

The Registration and Exams Lead will be responsible for the line management of staff within the department and overseeing the accurate and timely planning & processing of data and administrative tasks relating to Exams/Registrations, Audit, ILR and timetabling.

This is a key role within the department where you will liaise with awarding organisations and JCQ to ensure the college’s exams processes are compliant as well as communicating with curriculum colleagues to ensure that registration to awarding bodies is accurate.

Responsibilities include:

  • Line management of staff to ensure that both team and departmental key performance indicators are met.

  • Carry out day to day management duties such as, managing holidays approvals and monitoring of staff sickness absence including back to work interviews.

  • Conducting staff appraisals and performance reviews and reporting to the management team on individual and team performance.

  • Carry out the training of junior staff and identify areas for development.

  • Mentoring and coaching team members.

  • Direct involvement in interviewing and inducting new staff members.

  • Effectively communicate business changes to the team and implement changes to processes as required.

  • Manage the day-to-day delivery of the College’s examination service providing rigorously maintained processes which adhere to awarding organisation, JCQ and Government regulations

  • Responsible for ensuring compliance with examination board and College regulations, procedures and deadlines.

  • Work with Curriculum teams to approve and validate awarding organisations submissions, including entries, registrations, outcomes and awards, ensuring that they are processed efficiently and accurately

  • Responsible for Managing the exam access arrangement process for the College.

  • Creates effective information processes for the recording, analysing and presentation of exams and results.

  • Overseeing the process relating to appeals, remarking and other administrative processes.

  • Maintaining the polices relating to exams.

  • To provide effective administrative support for the day to day registration/examination and timetabling

  • Responsible for all aspects of Examination registration for new or returning learners.

  • Improve data quality by identifying and supporting training needs.

  • To provide support to the curriculum areas to ensure the effective use of the timetabling (Shape) and HE Awards manager modules.

Education & Training

  • GCSE 4 – 9 or equivalent level 2 qualification in Maths or be prepared to pass a test before the interview to demonstrate level 2 ability and then if appointed achieve within an agreed timescale

  • GCSE 4 - 9 or equivalent level 2 qualification in English or be prepared to pass a test before the interview to demonstrate level 2 ability and then if appointed achieve within an agreed timescale

  • Hold a level 3 qualification relevant to FE/HE or have relevant experience in a similar role.

  • Evidence of high level of keyboard/ word processing skills. With good working knowledge of Word, Excel, and the use of the internet.

Experience

  • Experience of working with a computerised record system

  • Experience of the operation of FE/HE regulatory frameworks.

  • Experience of the operation of Education systems and expertise in at least one of the following areas: admissions, enrolment, examinations and timetabling.

  • Experience of working with external awarding bodies and/or work with partner institutions.
